We aim to respond to every email within 24 hours, seven days a week. Most replies arrive within a few hours during UK business hours.
What to include
To help us reply quickly, please include in your email:
- Your Flightscan booking reference (six-character code from your confirmation email), if you have one.
- The airline booking reference (PNR), if you have one.
- The passenger name on the booking.
- A clear description of what you need.
Urgent issues
If your travel is within the next 24 hours, please add “URGENT” to the email subject line. We monitor the inbox throughout the day and prioritise time-sensitive cases. Note that for cancellations, delays, denied boarding and other operational issues, the operating airline is primarily responsible— in most urgent situations contacting the airline directly via their phone line or airport desk will be faster than emailing us.
Complaints
If you have a complaint about our service, please email info@flightscan.co.uk with the subject line “Complaint”. We will acknowledge it within 5 working days and aim to resolve it within 30 days. Full complaints procedure, including Alternative Dispute Resolution rights and the CAA route for airline-operational complaints, is set out in Terms & Conditions, section 11.
Data requests
For Subject Access Requests or any other UK GDPR rights request, email info@flightscan.co.uk with the subject line “Data Request”. Details are in our Privacy Policy.
Why no phone line?
We are a small team and a phone line would mean either long hold times, an outsourced call centre reading scripts, or both. Email lets us read your details properly and reply with a written record you can refer back to. For operational issues with a flight already in the air or about to depart, the airline’s own phone line and airport desks will always be faster.
